Privacy Policy

1. Who we are
GoodConvos, LLC operates GoodConvos. For privacy questions or requests, contact support@goodconvos.org.
Community organizers are responsible for their own use of community information. When we handle information on their behalf, we follow their lawful instructions and the data-processing terms that apply.
2. Information we collect and how we use it
We receive information from you, community organizers, other participants and service providers. This includes:
- Account and profile details, such as your name, email, location and interests.
- Community memberships, answers to community questions, sharing choices and permissions.
- Availability, matches, meetup participation, messages and feedback.
- Messages you send to support or the assistant, and connected messaging details such as your WhatsApp number. Connecting WhatsApp does not give us access to your unrelated conversations.
- Sign-in, network, security, message delivery and usage records. If analytics is enabled, these records may include identifiers linked to your account.
We use this information to run accounts and communities, arrange matches, send messages and provide support. We also use it to improve GoodConvos, prevent abuse and meet legal requirements.
Where data protection law requires a legal basis for using your information, we rely on:
- Contract: Providing the service you agreed to use.
- Legitimate interests: Keeping GoodConvos secure and improving it, where these uses are proportionate and respect your rights.
- Consent: Optional uses for which the law requires your permission.
- Legal obligations: Meeting requirements imposed by law.
When we handle information for a community organizer, we follow its instructions and the legal basis that applies to that use.
We do not sell personal data or use it for targeted advertising.
Google Calendar. Connecting Google Calendar is optional. You can use GoodConvos and participate in meetups without it, and enter your availability manually instead.
If you connect Google Calendar, we access your Google account identity and email, calendar list and busy times from your selected calendars to help schedule meetups. We store account and calendar details, encrypted connection credentials and busy times. We do not store external event titles, descriptions, locations or attendee lists. We do not show external calendar contents to other members or organizers.
With separate permission, we create, update or remove GoodConvos meetup events in your chosen calendar. Anyone with access to that calendar can see those copies. You can disconnect in GoodConvos or revoke access in Google. Disconnecting in GoodConvos stops synchronization and removes usable connection credentials and stored busy times. Existing meetup events in your calendar may remain.
Our use and transfer of information from Google APIs follows the Google API Services User Data Policy, including its Limited Use requirements. We use Google data only for the calendar features described above. People can access it only with your specific permission, to investigate security issues or abuse, or to meet legal requirements.
3. Community questions
Community admins choose the questions they ask, which questions to mark as sensitive, and which answers to enable for matching. We use answers enabled for matching to help arrange meetups, including AI tools when enabled. Optional questions can be skipped, and you can edit your answers later. For help removing answers or stopping their use, contact support@goodconvos.org.
4. Who can see your information
- Members: Members see the profile and coordination information you share through the features and settings you use. Participants can see messages shared in their meetup.
- Community organizers: Organizers see relevant answers, participation details, coordination messages and individual feedback, as explained when we collect them. They do not get access to other communities’ private answers or all of your account information. Community organizers cannot read your one-to-one messages with the platform’s GoodConvos WhatsApp number or your private platform assistant chats. Messages posted in community WhatsApp groups are visible to people with access to those groups, including organizers.
- Authorized GoodConvos staff: Staff can access information when reasonably needed for support, technical problems, abuse investigations or safety. This can include private assistant chats, one-to-one messages with the GoodConvos WhatsApp number and feedback. Access is limited to staff who need it for these purposes. The stricter Google data access limits in section 2 still apply.
- Service providers: Providers receive information needed for hosting, storage, email, messaging, AI, security and enabled analytics. Their handling of it is subject to the contractual protections that apply.
- Other recipients: We may share information when lawfully necessary to meet legal obligations, address safety issues or deal with legal claims. We may also share it as part of a business transfer, with appropriate confidentiality protections.
External messaging services have their own privacy policies.
5. How we use AI
When AI features are enabled, AI providers process relevant messages, preferences or profile details to help with assistance, matching and profile introductions. This use is subject to the permissions that apply.
We do not use your personal data, or allow providers to use it, to train general-purpose AI models. AI suggestions can be wrong. You choose whether to participate in meetups and can contact support about results that affect you.
6. Email and cookies
We send messages needed to run your account and coordinate your participation. We may also send occasional product announcements or updates, with your consent where required. You can unsubscribe from optional messages at any time.
We use cookies to keep your session secure and run the service. If additional tracking or analytics requires consent, we ask for it before that use begins.
7. How long we keep information
We keep information only as long as we need it for the reason it was collected. Account, profile and participation records support your account and community history. Messages and feedback help with coordination, matching and related issues.
How long we keep each record depends on its purpose, the type and sensitivity of the information, and any legal or security need. Having an active account does not mean we keep every message or feedback item indefinitely.
When information is no longer needed, we delete it or remove identifying details so it is anonymous. After an account deletion request, we may keep limited records for legal or security reasons, or to preserve other participants’ shared history. We remove or restrict identifying details as appropriate. People who already received information may keep their own copies outside our control.
8. Your privacy rights
Contact support@goodconvos.org to ask to see, correct or delete your information, or receive a copy you can transfer to another service. Depending on the law that applies to you, you may also have the right to limit how we use your information or challenge decisions made solely by automated processing.
You can withdraw consent where we rely on it. This does not change whether earlier use was lawful. We may need to verify your identity. Some requests have exceptions under the law, and we respond within the legal deadlines that apply.
Where the law gives you this right, you can object to uses of your information based on legitimate interests. You can also object to direct marketing at any time.
You can also complain to a data protection authority. If the General Data Protection Regulation (GDPR) applies to you, this includes an authority in the country where you live or work, or where you believe your data protection rights were violated.
9. International transfers and security
We and our service providers may process your information in the United States and other countries where we operate. Where the law requires it, we use approved safeguards for transfers outside the European Economic Area or the United Kingdom. These can include Standard Contractual Clauses, which are approved contract terms that protect transferred personal data. Contact support@goodconvos.org to ask about the safeguards that apply or request a copy.
We use technical and organizational measures, including access controls, to protect your information. No system is completely secure.
10. Age and policy changes
GoodConvos is for people aged 18 and older. Contact us if you believe someone under 18 is using it.
If we change this policy, we will publish the revised policy and its effective date. We will notify you and ask for consent where the law requires it.
